How it's built

The process behind every reminder.

Sourced from publicly published admissions information.

Each school's own admissions pages are the primary source. We record the source URL, the review date and what was published when we last looked.

Reviewed weekly.

Every deadline carries a review date. When a school publishes a new date, the next weekly review picks it up and the alert is updated to match.

Grouped by child, not by school.

Your tracker is organised by child. You always know which date belongs to whom — useful when you have multiple children at different entry points.

Sent on the channel you choose.

WhatsApp, SMS or email — or all three. One reminder per deadline, not a steady stream. We treat your inbox like ours.

The process

From source to phone, in five steps.

No part of this is black-box. If a reminder is wrong, we can show exactly which review produced it and where it differs from the published source.

  1. 01

    Source

We work from each school's own publicly published admissions information on a weekly review cadence. The source URL and the date we reviewed it are recorded for every entry.

  2. 02

    Review

Differences against our store are reviewed by our data team before going live. Anything that fails a sanity check (a date in the past, a change of more than six months) is flagged for manual confirmation.

  3. 03

    Store

Each date is stored alongside its source URL and the review timestamp. Every row can be traced back to its origin.

  4. 04

    Queue

Reminders for deadlines crossing 30-day, 14-day and 1-day thresholds are queued by a process that runs roughly every 10 minutes. Failed sends are logged and retried.

  5. 05

    Deliver

Reminders go out on your chosen channels. One per deadline. Each links back to the school profile and the original source.

Coverage

Every date that runs to its own clock.

Independent-school admissions has more parallel calendars than any other UK schooling track. We track all of them in one place.

You can't keep these in your head. Registration deadlines for some top selective schools close five years before entry. Open days clash with assessment days. Sibling priority windows close before the standard registration deadline. We track everything that runs on a clock so you don't have to.

  • Registration deadlines (often 4–6 years before entry for top selectives)
  • Open days and tour dates
  • Sibling and feeder-school priority windows
  • Assessment and interview windows (ISEB, CAT4, school-set papers)
  • Offer days and reply-by deadlines
  • Waitlist and casual-vacancy movement (where the school publishes it)
  • 11+ consortium dates (London 11+, North London 11+)
  • Bursary application windows and means-tested deadlines
  • Scholarship audition and assessment dates

The promise

One alert, the week the deadline matters.

  • One reminder per deadline — never a daily drip.
  • Sent on WhatsApp, SMS or email, your choice per child.
  • Links back to the school profile and the original admissions page.
  • Carries the review date so you know how recent the information is.
  • When the school publishes a new date, your reminder is rewritten to match.

FAQ

Parents most often ask.

How accurate are the deadlines?

Deadlines are reviewed weekly against each school's publicly published admissions information. Each entry carries its review date. When a school publishes a change, the next weekly review picks it up and the alert is updated to match.

What if a school changes a date mid-cycle?

Mid-cycle changes are picked up at the next weekly review — and any pending reminders are rewritten with the new date. If you have already received a reminder, you will receive a corrected one shortly after the change is confirmed.

Why do you only send one reminder per deadline?

Because more becomes noise. Houseroom is built to reduce anxiety, not add to it. One reminder the week each deadline approaches is enough to keep you ahead without filling your phone.

Which channels can I get reminders on?

WhatsApp, SMS or email — pick one or pick all three. You can change channels per child, so a parent and an au pair can be on different reminders for the same child if needed.

Does the tracker cover state schools as well?

Not yet. Houseroom focuses on London independent schools, where deadline complexity is highest — registration windows that close years before entry, multiple assessment formats, sibling priority deadlines. State school dates follow a more uniform local-authority calendar and are usually easier to find on your borough website.

What if I save a school you don't list?

Every school in the directory is tracked. If you spot a London independent we have not listed, send it to us — we aim to add a profile and the published dates within a week.

Can I share my tracker with my partner?

Yes. You can add a second contact per child, and we'll send alerts to both. Useful when one of you handles registrations and the other handles open days.

Is the tracker free?

Yes. Forever. The directory, the matcher and the deadline tracker are free for every parent.
